How to automate appointments and reminders

Prepare bookings using confirmed services, duration and availability. Check the slot again before saving an appointment and refer exceptions to a person.

What information you need

  • Service and duration, including preparation buffers
  • Available professional or resource and time zone
  • Requested date, appointment status and booking identifier
  • Authorised channel for confirmations or reminders

How to organise the workflow

  1. Step 1

Collect the requested service and offer only slots from the current calendar.

  2. Step 2

Read availability again before confirming to avoid concurrent bookings. Store a unique identifier and one confirmation.

  3. Step 3

Schedule the reminder using approved conditions. Cancel the previous reminder when the appointment changes or is cancelled.

  4. Step 4

Refer special services, out-of-hours requests and changes affecting other bookings for review.

Workflow example

Illustrative example: a barber offers a 30-minute haircut and a 60-minute service. The workflow does not offer a 30-minute slot for the longer service. If two requests choose the same time, only one is confirmed; the other receives alternatives after checking the calendar.

This is a workflow design example, not a customer case or a confirmed integration.

What to check in your tools

Your calendar, spreadsheet or management system must allow reading and updating the required fields with limited permissions. Use test data to check connection failures, duplicate requests and someone editing a record while the workflow runs.

Compatibility with a particular vendor is not assumed. Before implementation, verify current documentation, your account permissions and usage limits.

Errors the pilot should handle

  • Outdated calendar: do not confirm until the source is restored.
  • Duplicate message: reuse the booking identifier.
  • Service change: recalculate duration before keeping the slot.
Review and evaluation
Human controlThe responsible person approves cancellation terms, exceptional availability and service changes.
MeasuresMeasure administration minutes per appointment, calendar conflicts, failed confirmations and no-shows. Compare periods with similar volume and include error-correction time.
Proceeding criterionCompare the pilot with manual work of the same scope. Review failures before expanding permissions or volume.
